Why customize and optimize?
It’s about the long game
Real estate success is built on relationships. Maintain conversation with your database, especially those who haven’t been a client yet, and you build trust as a trusted adviser: more than getting them through the transaction, their forever go-to.
What you say matters
Do you need an email reminding you the clocks are changing? Another Happy Holidays email from someone you barely talk to? I don’t, and I am the everyday consumer. Custom content showing value is what the consumer reads.
People refer people
Even if a contact doesn’t transact themselves, they can refer friends, family or colleagues. Share a home project specialist, a favorite home warranty, a neighborhood market report or a home valuation that counts.
Timing is everything
A lead that didn’t buy or sell in the past may not have been ready. Circumstances change, and staying in touch keeps you top of mind when they are ready to act.
Perception of value
Leads are valuable assets, not just names in a database. Treating them as ongoing opportunities, rather than ‘past’ or ‘closed’ or ‘dead’, increases the likelihood of re-engagement.
Follow-up is the issue
The real problem isn’t ‘bad leads’. Many leads slip through the cracks because agents stop reaching out too soon. A CRM with automation and customization takes care of this big issue.
Marketing mix
A CRM is a marketing tool that turns into multiple outreach channels. Every brokerage and agent needs a marketing mix, and an optimized CRM checks multiple boxes.
Junk leads
Sure, there are some junk leads, but there are more nurture opportunities. With the right messaging, those opportunities turn into closed business.
Everyone is a potential client
No ‘past leads’ or ‘past clients’. Every contact, however far from your inner circle or however inactive, can convert into a client or provide referrals.
From a client
“I have wanted to automate my CRM for so long. Thank you for doing it! It works so easily, and within days I got a listing lead from my sphere.”

Q&A
Questions about CRM and technology
Why won't my team use the CRM we pay for?
Because it was set up as a digital file cabinet, not a conversation engine. If the CRM only stores contacts, using it is extra work. If it tells people who to call, what to say, and sends the follow-up they'd never get to, it makes their day easier. Adoption follows usefulness, not training.
Is the problem bad leads or bad follow-up?
Follow-up, almost every time. Many leads slip through the cracks because outreach stops too soon. Some leads are junk, but far more are nurture opportunities that were dropped. A CRM with the right automation and messaging keeps the conversation going for as long as it takes.
Are old leads and past clients worth contacting?
Yes, and writing them off is one of the most expensive habits in business. A lead who didn't buy wasn't necessarily a bad lead; they were an early one. Circumstances change, and whoever is still in the conversation gets the call. One client turned on a sphere email and text campaign on a Monday. By Wednesday morning, a past client had replied: “I got your email. Reminded me you are a realtor. We have to sell my mom's house.”
What should CRM outreach actually say?
Something the person would want to read. What works is content with value attached: a home valuation that means something, a market report, a contractor you trust, a resource you'd recommend. People refer people, and useful outreach keeps you top of mind when they do.
What does an optimized CRM include?
- New lead to closed messaging, written for your market and in your voice
- Sphere campaigns built on value, not holidays, written to run for five years or more
- Automated follow-up by lifecycle stage, so nothing depends on memory
- Customized dashboard task lists, so your team starts the day knowing who to call
- Outreach that feeds your social and email marketing from the same contact base
Do I set it up, or just advise?
I set it up, then I teach it. The setup, customization and automation get done for you, and your team is trained on the system you actually have, not a generic demo. Company-wide, small group or one-on-one.
